Stilling Overview

The Office administrator Danmark is the overall responsible for supporting the Equinor office in Copenhagen within the areas of facility management, office operations and administration. The Stilling reports to Land manager Danmark, SVP Power Global Offshore Wind. Part‑time Stilling, office based.

Key Tasks
  • Liaising with local facility management on day‑to‑day office operations.
  • Design and implement office standards and procedures (e.g. visitors, desk bookings, new employee onboarding, employee lunches, other catering requirements).
  • Responsibility for ensuring availability of Virksomhed materials (supply inventories, IT equipment and consumables, etc).
  • Manage external service providers to deliver on office needs (e.g. lunches, water, cleaning, etc.) and responsible for ensuring prompt processing of invoices related to office lease and provisions.
  • Work with internal Equinor Functional Centres of Excellence and other resources to deliver IT, procurement, HR and other services to Copenhagen, incl invoicing and workflow.
  • Receive/coordinate visitors and be main contact for Equinor persons planning travel to Copenhagen office.
  • Responsible for handling all correspondence arriving at the office and processing of any invoices or other requests for payments.
  • Assistance with onboarding and ongoing support to employees in the office.
  • IT responsible and coordinator with IT Norge (approval, maintenance and procurement).
  • Help ensure office security, safety, health and welfare, incl participate in emergency response exercises as required.
  • Support with Land manager delegated tasks, including activities to create an inspiring and collaborative working environment.
Requirements

Experience:

  • Office management / administration experience, minimum 3‑5 years.
  • Fluent English and Danish, oral and written.

General Skills and experience

  • Organizational Skills: organized, reliable and conscientious. Ability to prioritize tasks effectively, attention to detail, and effective time management.
  • Communication: Excellent verbal, written, and interpersonal skills. Confident communicator with ability to interact with a variety of stakeholders both internally and externally.
  • Problem‑Solving: Creative thinking, decision‑making, and handling unexpected issues calmly.
  • Technical Skills: Solid IT software skills (MS Office, Outlook email including calendar management), basic IT problem‑solving skills. Working knowledge of SAP would be beneficial but not essential.
  • Proactive and eager to learn.
  • Flexible team player who enjoys being part of a supportive environment.

To be successful the office administrator must balance strong operational and administrative skills with the interpersonal and cultural competencies needed to navigate a diverse and dynamic international organization like Equinor.
